When contract, invoice and payment names do not match

A buyer can verify a company and still be asked to pay an account in another name. The identity check has not answered who receives the money or why.

What the primary source can establish

A field-level check

Build a three-column record for contracting party, invoicing party and beneficiary. Ask for written links among them, including the legal names and the commercial reason for any difference. Have the buyer's finance and legal reviewers check the exact proposed documents.

Write down the exact field, the party that supplied the information, the original document or page, the date seen and the scope of the check. If a reviewer took an action, record that action rather than a general “verified” label. Reopen the source when the transaction or underlying document changes.

Where the inference stops

Do not treat a group logo or salesperson explanation as proof that an unrelated beneficiary is authorised. Also avoid declaring fraud from a mismatch alone; legitimate structures exist, but need documentation.

A missing answer is a question to resolve, not permission to substitute a guess. Separate a statement by the supplier from a public record and from a documented human review. No source in this article proves a quality ranking or an existing buyer relationship.

What to record before deciding

Keep the directory's identity field separate from transaction instructions. If the chain remains unexplained, pause the transaction decision and show no claim that payment details were verified.
